Millennium Loan
Rules
The Millennium
Loan Rules are based on the recommendations made by the Standards
Committee and adopted by the Membership at the September 2005 OSL Meeting. The recommendations called for 2 basic loan periods: 21
days with 1 renewal and 7 days with no renewals. It was also decided
that holds were a yes (with "my holds first") or no proposition;
that is there would no longer be any "local holds only". Based on
this our Millennium Loan Rules are summarized below.

There is also a 21
Day rule with no holds and no renewals for non-OSL ILL materials.
and a general
non-Circulating rule. In addition there is an hourly rule for the
Warwick laptops. Altogether there are 123 rules including Ann's
training rule which we will delete after training has been
completed.
How materials
circulate is determined by the Loan Rules Selection Table which
combines the Loan Rules with the Locations, ITYPES and PTYPES.
Millennium Holds Management
This is a directive
for all members. As a result of a lengthy discussion in our Q&A
Training Session we have prepared this document which outlines the
necessary steps for libraries to work with Millennium holds. Our
goal is a successful & equitable sharing of our materials consortium
wide.
Holds Management & Daily Routine
- Daily it is necessary to print & clear both
the Item Paging Slips & Title Paging Lists. Each list must be
cleared daily. Instructions are available on the Circ Heads
message board and will also be posted on riOSL.org/support page
for Circulation Heads currently under development. Please
remember that after printing the paging lists the lists need to be
cleared. You won't get the prompt to clear the lists if you print
them by using the Print button on the toolbar rather than printing
them from the notices application.
- Paging Lists not being run and not being
cleared have resulted in many items appearing & continuing to
reappear on member's lists and cluttering the holds management.
- Upon completion of the Paging List it is
necessary to CLEAR EXPIRED HOLDS AND HOLDSHELF, daily. Click on
the Clear Hold Shelf icon found on the left side navigation bar.
You will notice the Clear Expired Holds and Hold Shelf is
checked. Your location will also be checked. Click on Clear. A
summary will appear and below that a list of the items to be
cleared. Click on Print. You will have a list of items and actions
for each. Click on Close, scan the items. These actions will move
these items along and keep holds moving.
- If need be we will begin nightly to Clear
Expired Holds and Hold Shelf from DP. DP will print a list of the
Expired Hold Shelf by location & then clear those lists. This
would necessitate those libraries receiving a printout in the
delivery and being responsible for taking action with those items
DAILY.
- Please read the document
Best Practices for Holds Management. This is found on
csdirect.iii.com under the Customer Resources.
- Additional changes have been made in our
setup from our migration to help clear the flow of materials with
holds & placement there of. For example, the volume field removal
will assist with the choice of " holds copy returned soonest"
rather than forcing an item specific hold.
- It was requested that this memo be
distributed to all Directors & posted on all message boards. OSL
President Kathryn Taylor was in attendance at the above training
session & felt strongly that this matter needed to be addressed.
